Print Financial Statements

OBJECTIVE

The Print Financial Statements function is used to view, send by e-mail or print the financial reports created with the Financial Statement Configuration option.

 

To activate the Print, Send by E-mail and Preview icons, you must select an income statement in the Income Statements section, a print format and a period in the Print Settings section.

The Print icon lets you print the document immediately without preview. To view the document, click the Preview icon.

You can click the Send by E-mail icon to create a PDF file ready to be sent by e-mail.

You can close the financial statement display window by pressing the Esc key during calculations.

 

 

When an exchange rate is assigned to a Balance Sheet type financial statement, maestro* uses the conversion rate set at the end of the last financial year instead of the current rate at the end of each period.

Print a financial statement

  1. Click on one of the following icons:

Quick access to Printing Layouts.

Print Default Income Statements

Prints the default Income Statement in the system.

NOTE: This format includes all revenue and income entered in the system.

Print Default Balance Sheet

Prints the default Balance Sheet in the system.

Print Default Trial Balance

Used to view a financial statement in the same way as a trial balance and drill down into the transactions.

 

 

Clicking the Configuration icon assigns default values to all print formats.

  1. Select an Income Statement, Print Layout and Period.
  2. Enter the required information:

    Apply Participation Rate

    Uses the participation rate for the company in financial statement calculations if the box is checked.

    NOTE: The participation rate is configured in the Participation Rate field when a company is created (Company Selection icon in the main menu).

    Currency

    Currency used to print the financial statement.

    Start Date / End Date

    Period start and end dates.

    NOTE: The dates are displayed automatically when you select a period in the Period section.

    Printing Layout

    Formats from Financial Statement Column Formats.

    Period

    All of the periods available for printing a financial statement.

    NOTE: By default, the system is in the current period.

  1. Print Queue section: you can place several financial statements in a print queue without having to take action for each one of them. To do this, select a statement, a printing layout, and a period, and then click on the Add to Print Queue option.

 

The print queue can be used to print several financial statements and send them by email, but it does not have a print preview function.

  1. Click on Print, Send by E-mail or Print Preview.

 

View a trial balance and drill down into transactions

The trial balance displays all accounts and is printed in the form of a financial statement.

 

Credit amounts are displayed with a "-" (minus) symbol.

  1. Select a Printing Layout.
  2. Select the period.
  3. Click the Print default Trial Balance icon.

 

The trial balance is displayed on the screen and you can drill down into the transactions by double-clicking on the amounts.
